Run the same task in both
Prepare a form submission that creates a CRM contact, assigns a task and logs a result. Hold the inputs and acceptance criteria constant, and record the plan you used.
- Build one real workflow using synthetic records.
- Send the same event twice and inspect duplicate handling.
- Intentionally fail one step and inspect retries and alerts.
- Estimate monthly usage from the steps that are actually billed.
How to reach a decision
Give the most weight to connector fit, failure recovery. Record what you observed rather than treating a long feature list as a result. If neither tool passes your mandatory requirements, keep looking.
Calculate the effective cost per successful workflow run after configuration time and any required add-ons. A successful trial is a workflow your team can repeat and maintain.

Make or Zapier: choose the unit of work first
Source-based research, not a hands-on product test. Fit recommendations below are editorial judgments based on the stated requirements.
Verified details that affect the choice
- Make uses credits, with consumption depending on module and AI connection type. Custom AI-provider connections can incur separate provider charges. Source: Make credit documentation.
- Zapier publishes usage rates for its task pool; the rate depends on the kind of action or programmatic work. A task is not a universal one-for-one equivalent of a Make credit. Source: Zapier usage rates.
Start with one real outcome
Our editorial recommendation is to compare a completed business outcome, such as a qualified lead reaching the correct seller, rather than a single step. Write down the inputs, transformations, destination records and failure conditions. The shorter-looking automation is not automatically cheaper or easier to maintain.
Shortlist by connector fit
Start with Make if visual inspection of several branches is a priority in your evaluation. Start with Zapier if its available triggers and actions map closely to the applications you already use. Neither recommendation guarantees that a particular field, authentication method or rate limit will work; verify the exact integration.
Compare the recurring workload
Use a normal batch, a batch containing duplicates and a deliberate destination failure. Record each platform’s usage meter and any separate AI-provider bill. Do not divide a task allowance by a credit allowance to infer value. Calculate the cost of the accepted batch and document manual recovery effort.
Decision rule
Reject a candidate that cannot meet a mandatory connector or recovery requirement. If both pass, compare operating cost, setup work and the ability of the future owner to diagnose errors. Keep an export or written specification of the workflow so changing tools later does not mean rediscovering the business rules.
