SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Define what complete means for this export
Pipedrive's export guide distinguishes list-view exports from exports by item type. Export permissions do not override visibility: a user can export only data visible to them. Its access-control guide separately defines visibility as what a user can see and permission sets as what they can do. A valid CSV can therefore be correct for one user while incomplete for an organization-wide migration.
Our recommendation is an export manifest: object types, filters, date scope, fields, responsible user and expected relationships. Decide whether the deliverable is a sales analysis, a contact handoff or a full migration. Those need different evidence.
A fictional small-team migration
Assume a company expects 40 people, 18 organizations and 25 active opportunities in a defined pilot scope. A salesperson exports 12 opportunities visible to their role. That does not prove the other 13 were deleted or that the export failed. First compare scope and visibility with an authorized administrator.
The numbers are hypothetical expectations, not account data. Do not grant broad access merely to make a row count match. Use an authorized export owner and keep role restrictions intact while explaining the difference.
Prepare and reconcile
- Write the export purpose and the specific object sets required.
- Confirm the exporting user has appropriate permissions and visibility for that authorized purpose.
- Record active filters and selected columns before generating the file.
- Retain stable IDs needed to join people, organizations and opportunities.
- Compare exported ID sets with the expected authorized scope.
- Inspect representative relationships, dates and monetary fields in the resulting files.
Do not assume one flat file contains everything
Our migration recommendation is to inventory notes, activities, files, emails, products and custom-field definitions separately if they matter to the destination. Confirm the supported extraction method for each; do not infer that an exported opportunity row carries every associated artifact.
For a sample contact with two opportunities and three activities, write down the intended destination relationships. A row count may match while those links are lost. Test the receiving system with a small synthetic set before describing an export as a usable migration.
Preserve definitions as well as values
A column named category may contain option identifiers, labels or business-specific meanings. Keep a field dictionary and the relevant option definitions with the migration documentation. Pipedrive documents exports of field setup and selectable options; inspect the applicable output rather than reconstructing meaning from labels alone.
Choose a safe location for exported personal data and limit access to the people performing the authorized task. This is ordinary operational handling guidance, not a claim that the export itself supplies a retention policy or complete backup capability.
Acceptance criteria
Accept the export when the object scope is explicit, expected authorized IDs reconcile, representative joins work and known exclusions are documented. If files or messages are missing, report that limitation rather than labeling the CSV a complete backup.
This guide proposes a scope and completeness exercise. It does not claim a live export test or automatic restoration capability. Consult current product documentation and the actual account controls before depending on an export for a platform change.
