SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Treat a move as a handoff
Trello's current move guide says cross-board moves carry descriptions, checklists, attachments and comments, but not card history or activity. Card members who are not members of the destination board are removed from those cards. The guide describes equivalent considerations when moving a list.
Our recommendation is to review ownership and required evidence before moving real work. Seeing the card in the destination list does not demonstrate that its accountable people or historical context are still available as expected.
A fictional delivery transfer
Assume a sales team hands three approved requests to an implementation board. One request is assigned to a salesperson who is not a destination-board member. The handoff needs a named implementation owner and enough context to act without reading every earlier status change.
Write a short handoff note containing the agreed outcome, relevant decision references and the next action. This example is a proposed process, not a performed move or measured migration result.
Prepare a transfer worksheet
- Source card reference and intended destination board and list.
- Current card members and intended receiving owner.
- Required descriptions, checklists, comments and attachments.
- Activity-history evidence needed outside the destination card.
- Destination audience and access to linked resources.
- Receiving person's acceptance of the next action.
Rehearse with synthetic work
- Prepare one test card with a description, checklist, comment and harmless attachment.
- Record its source membership and the intended destination membership.
- Move it through the supported card action.
- Compare the documented content categories with the resulting card.
- Inspect membership and establish the intended receiving owner.
- Check destination visibility and linked-resource access.
- Confirm which evidence must be retained separately before moving the real batch.
Do not enlarge the audience casually
Our access-design advice is to avoid adding people to an entire destination board solely to preserve their card assignment. First decide whether they need that board's wider context. A handoff can instead assign an authorized receiving person and retain the relevant source reference under the organization's process.
For bulk list moves, inventory every in-scope card and reconcile the result against that list. A sample rehearsal is useful, but it does not replace a complete batch accounting when ownership matters.
Check restrictions and accept the outcome
Trello documents that cards and lists belonging to an Enterprise cannot move to boards outside an Enterprise Workspace. Inspect current organizational restrictions before designing a cross-boundary transfer.
Accept a handoff when all intended cards are accounted for, the receiving owner understands the next action, required content is readable and history limitations are recorded. This guide provides a source-based checklist, not a move operation or a promise of lossless transfer of all Trello data. If full historical continuity is essential, resolve that requirement before changing the board structure.
