Where to start
Explore it when several teams need to work from shared customer information.
Use this as a reason to investigate, rather than a final recommendation. The right fit depends on the workflow, the selected plan and the people using it.
What to check in a trial
Map the exact paid products and seats required by your workflow.
- Import a small synthetic contact list, including one duplicate.
- Move an opportunity through your actual sales stages.
- Assign a follow-up and check how it appears to a colleague.
- Export contacts and opportunities, then inspect the resulting files.
Plan and cost questions
Start with the cost per active sales user. Compare the complete workflow with the current vendor quote. This profile does not claim a verified live price.
- Which automation and reporting features require an upgrade?
- Are email synchronisation and additional pipelines included?
- Can contacts, notes and attachments all be exported?
Before you commit
Record the selected plan, required add-ons, billing period and the date of the quote. Keep one accepted output or completed workflow as evidence. If a mandatory requirement fails, revisit the shortlist before buying.

Assess HubSpot beyond the first CRM screen
Source-based research, not a hands-on product test. Fit recommendations below are editorial judgments based on the stated requirements.
Verified details that affect the choice
- For Marketing Hub subscriptions using marketing contacts, exceeding the tier triggers an upgrade. HubSpot states that the higher tier remains billable until renewal even if the marketing-contact count subsequently falls. Source: HubSpot marketing-contact billing.
Best starting point: shared responsibility
Our editorial starting point is an organisation that needs a defined handoff between marketing, sales and service. Describe the event that changes a record owner, the information that must survive and the report used to confirm the handoff. A shared database alone does not create a shared process.
The limit to model before importing
Separate the people stored in the CRM from those you intend to market to. Rehearse your import and status rules on a small sample. Assign someone to monitor the count and renewal terms, especially before a large campaign or migration. Budget against the expected operating configuration, not only the initial number of users.
When Pipedrive may be a better starting shortlist
If the unresolved job is simply keeping sellers focused on open deals and next activities, compare Pipedrive before committing to a broader configuration. Ask each team which features they will use now. Remove hypothetical future workflows from the initial implementation scope and evaluate them separately.
A useful acceptance test
Create a fictional lead, qualify it, pass it to sales and record a service request after the sale. Inspect ownership, permission boundaries and the completeness of the history at every step. Ask the intended administrator to repeat the process without help. Treat a failed mandatory handoff as a reason to revise the setup, not to buy more features immediately.
