SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Separate the asset from the action
Asana proofing lets reviewers place feedback on supported images and PDFs. An annotation creates an actionable subtask that can receive an assignee, due date and further description. The marker identifies where the feedback applies; the subtask defines who will resolve it and how completion will be checked.
Create a versioned review fixture
Attach a fictional three-page PDF named campaign-v1.pdf. Add one accepted comment, one required correction and one ambiguous suggestion. Before any edit, record which comments should create work and which need clarification.
| Feedback type | Subtask treatment | Closure evidence |
|---|---|---|
| Required correction | Assign with due date | Updated version and reply |
| Ambiguous suggestion | Clarify before editing | Agreed instruction |
| Duplicate annotation | Link to one owner | Single resolved outcome |
| Out-of-scope request | Record separate decision | Accepted deferral or rejection |
Reconcile annotations before approval
Count open proofing subtasks by asset version rather than treating a newly uploaded file as proof that feedback was incorporated. Rename vague subtasks, add the expected change and keep the parent task linked to the reviewed file. If several reviewers mark the same issue, consolidate ownership without deleting the original context.
- Freeze the file name and version under review.
- Ask reviewers to annotate the exact affected area.
- Convert required changes into owned subtasks.
- Clarify suggestions before implementation.
- Upload the revised file under a new version label.
- Check each open annotation against the revision.
- Close the parent review only after the reconciliation list is complete.
Accept traceable visual feedback
Accept the process when each required annotation has one owner, an observable change and a recorded closure. Asana documents proofing for PDF, PNG, JPG, GIF and BMP files, but availability and plan access must be checked in the current workspace rather than assumed from this guide.
