SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Choose the export route by required evidence
ClickUp List and Table exports offer visible columns, task names only or all columns. The official view-export guide says collapsed groups are excluded and gives separate subtask display steps for List and Table views. Workspace task-data export is a different route with selected hierarchy locations.
Our recommendation is to write the required population and fields before downloading. Current plan and role requirements must be checked for the route you intend to use.
A fictional project handover
Assume a delivery List contains four parent tasks and three subtasks. One status group is collapsed, and the receiving spreadsheet needs task references, owners, dates and parent-child context. Seven expected identities form the reconciliation set.
A file with four familiar titles might be readable but incomplete for this requirement. The counts are hypothetical inputs, not a performed export or a claim about file-size limits.
Prepare an evidence worksheet
- Population: list the expected parent and subtask identities.
- Groups: identify content hidden by collapsed sections.
- Fields: specify the columns the receiving reader needs.
- Dates and time: choose a format the destination can interpret.
- Attachments: distinguish file content from attachment references.
- Authority: identify the authorized exporting account and selected route.
Reconcile a controlled export
- Inspect the intended view and expand relevant groups.
- Set the documented subtask display option for that view.
- Choose the field scope that matches the worksheet.
- Download the supported format.
- Open the output and compare identities against the complete expected set.
- Inspect a parent, a subtask and a representative date value.
- Record omissions before changing the export route or repeating the download.
Keep portability and recovery separate
The task-data export documentation lists attachment names and hyperlinks among its fields. Our continuity advice is to check whether the reader can actually access needed files and whether independently readable copies are required. A URL column is not the same deliverable as a package containing the file content.
Likewise, readable rows do not establish that an entire ClickUp workflow can be reconstructed. If recovery matters, define the target system and rehearse the reconstruction separately with synthetic data.
Acceptance criteria
Accept the handover when all required task identities and fields are present, subtasks remain interpretable and the reader understands file and recovery limitations. Check current export permissions rather than broadening access to make a menu appear. This guide is a source-based verification procedure, not a live export, backup certification or claim that a view download contains every project artifact.
