Notion relations: define direction and cardinality before connecting pages

For teams connecting projects to requests without creating ambiguous links between similarly named records.

SOURCE-BASED ANALYSIS · NO HANDS-ON RATING

Write the relationship as a sentence

Notion relations connect database pages. Between different databases, relations start one-way by default; a corresponding relation can be enabled on the other side. The relation can be limited to one page or allow multiple pages.

Before configuring those options, write the business meaning. For example: each request belongs to one delivery project, and a project can contain several requests. This sentence is our proposed modeling method, not a universal rule for every team.

A fictional two-project setup

Assume a studio has projects PRJ-A and PRJ-B. Both contain a request titled Review draft. A title-only selection is ambiguous. Give the synthetic requests stable references REQ-1 and REQ-2, then write the intended pairs before adding any relation.

The expected set is PRJ-A with REQ-1 and PRJ-B with REQ-2. These identifiers are invented examples and do not refer to real customer pages.

Choose the navigation contract

Validate the relationship set

  1. Prepare the two projects and two sample requests in a controlled space.
  2. Create the relation to the intended database.
  3. Configure the one-page or multiple-page option to match the declared rule.
  4. Link each request to its intended project using the stable references.
  5. Inspect the corresponding side if two-way navigation is required.
  6. Remove a sample association and check the resulting relationship state.
  7. Compare the final pairs against the written expected set.

Do not infer a process dependency

Our modeling advice is to distinguish an informational association from a rule that prevents work. A relation saying a request belongs to a project does not, by itself, establish your organization's approval process or completion criteria. Write those policies separately and validate any additional automation you introduce.

For similarly named projects, include a stable code and owner context in the selection process. Correcting an association should involve checking dependent reporting, not merely changing a label until the screen looks right.

Acceptance criteria

Approve the design when each expected pair is present, unexpected pairs are absent and the chosen direction and page limit match the stated business rule. Review orphaned requests and decide whether they are valid exceptions. This article provides an editorial relationship-design exercise, not a data migration, account inspection or assurance that all related pages are visible to every collaborator. Source permissions require their own review before the model is shared.
