SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Inspect the inputs before the total
A Notion rollup uses a relation, a property from the related pages and a calculation. The documentation includes numeric calculations such as Sum and distinct counts for empty or populated values. Select the calculation that answers the declared question.
Our recommendation is to validate the relationship set and individual source values before changing the calculation. A correctly calculated total can still describe the wrong set of pages.
A fictional effort estimate
Assume project PRJ-A should include three requests. Their planned effort values are 2 hours, 3 hours and blank. The sum of the two known estimates is 5 hours, but the blank third estimate means the project's full planned effort remains incomplete.
If a fourth request from PRJ-B is mistakenly related and has 4 hours, a displayed value of 9 would be arithmetic over the wrong membership. These figures are invented planning inputs, not product measurements or claims about actual customer work.
Write a calculation specification
- Question: known estimated effort, completed effort or another defined quantity?
- Population: list the intended related request references.
- Source property: identify the precise numeric field and its unit.
- Missing data: decide what a blank means in the business process.
- Expected result: calculate a small example independently.
- Review owner: assign responsibility for association and value corrections.
Trace the result
- Open the project and list its actual related requests.
- Compare that set with the written expected population.
- Inspect the selected source property on every sample request.
- Confirm the rollup's calculation and the unit implied by its label.
- Compare the output with an independent calculation.
- Introduce a controlled blank-value case and inspect whether the reporting remains understandable.
- Restore the sample data and document the accepted behavior.
Make uncertainty visible
Our reporting advice is to show a completeness note beside a total when some estimates are unknown. A headline such as known effort is more defensible than presenting an incomplete sum as a committed project estimate. Do not silently convert unknown work into a confident zero in the planning narrative.
Keep a distinction between planned effort and actual time recorded. Adding those quantities without a written meaning can produce a precise number that no one should use for a delivery decision.
Acceptance criteria
Accept the rollup when its page population, source field, units and calculation match the reporting question, and missing values have a declared interpretation. Review the example again after changing relation structure or field meaning. This source-based procedure does not execute a Notion calculation, inspect your workspace or establish forecasting accuracy. It helps a reader design a small, independently checkable reconciliation before trusting a dashboard total.
