Pipedrive Insights: reconcile dashboard filters and viewer permissions

A shared chart can remain visible while its underlying records differ by viewer, so validate known fixtures at both report and dashboard level.

SOURCE-BASED ANALYSIS · NO HANDS-ON RATING

Separate the report definition from the dashboard view

A Pipedrive Insights dashboard collects reports and can apply quick filters to the displayed results. The official documentation notes that dashboard filters change what is shown without changing the data and filters already defined inside each report. Record the report's source, internal filters and date logic before diagnosing the dashboard.

Build a known record fixture

Assume a fictional dashboard contains an open-deals report and a won-deals report. Create a few synthetic deals with known owners, stages and dates, including one item outside the limited reviewer's visibility. Predict the results before opening Insights.

Compare viewers with the same filter state

Pipedrive applies item visibility to Insights. Users may still see charts or aggregated presentation while restricted records are unavailable, and administrator roles can have broader access. Permissions for company or other-user statistics add another layer. Compare the same clean dashboard and filter selections as each approved fixture account.

  1. Inventory every report and its internal filters.
  2. Record dashboard quick filters and selected dates.
  3. Reconcile the known synthetic records in the base report.
  4. Open the dashboard with the same filter state.
  5. Repeat as a limited user.
  6. Document expected differences and approved sharing.

Do not infer access from a shared dashboard

Sharing a dashboard does not grant unrestricted access to every source item. Conversely, an administrator's complete view does not prove that a colleague has the same evidence. When a total differs, inspect ownership, visibility groups and Insights permissions before rewriting the report.

Accept the dashboard when each result traces to a report definition, filter intersection and viewer scope. This guide does not validate live pipeline figures, forecast accuracy or measured performance.
