SOURCE-BASED ANALYSIS · NO HANDS-ON RATING
Specify the notification you need
A task date and a reminder serve different purposes. Todoist documents automatic reminders relative to tasks with a date and time, plus custom and recurring reminders. A custom Date & Time reminder attached to a recurring task applies to that occurrence only; use an appropriate recurring or before-task reminder when every occurrence needs a notification.
Example: a weekly preparation routine
Imagine a coordinator who wants to review an agenda before a regular Thursday meeting. Write down the desired outcome first: the right person receives a prompt early enough to review the agenda. A reminder that appears during the meeting is technically visible but operationally late.
Decide whether the prompt should follow the task's scheduled time or stay at an independently chosen time. That decision matters if meetings move. Do not assume every reminder automatically tracks every scheduling change in the way you intend; inspect the saved configuration.
Use a safe delivery rehearsal
- Create a plainly named test task without client details.
- Set a near-future date and time, leaving enough time to observe delivery.
- Select the reminder type and intended recipient.
- Check the notification channel configured for that person and device.
- Observe whether the notification arrives, then inspect what reminder remains for the next occurrence.
Keep the trial separate from a real recurring commitment so that completing or rescheduling it cannot alter the production routine. This guide describes a proposed check and does not claim that any notifications were sent.
Diagnose configuration and delivery separately
If the stored rule targets the wrong person or time, fix that first. If the rule is correct but nothing arrives, the next investigation concerns app and device delivery. Changing the recurrence repeatedly while debugging device permissions creates several variables at once and makes the result harder to explain.
Keep the number of prompts deliberate
For the coordinator, a single preparation prompt may be enough. Add another only when it has a distinct purpose and a clear response. Several nearly identical notifications can encourage dismissal without improving preparation. Review the routine after a meeting is canceled or responsibility changes.
Before depending on a particular reminder option, check current plan and platform availability in the official documentation and in the account. The acceptance condition is a verified rule that prompts the intended action, including on later occurrences, rather than merely a reminder icon next to a task.
